Property Administrator

The Property Administrator reports to the Property Manager, Senior Property Manager or General Manager and provides a variety of clerical and administrative support services to the Property Management Team.  The individual in this position works closely under the direction of the Property Manager, Senior Property Manager or General Manager and the duties and responsibilities may include assisting with budgeting, financial reporting, billing rent, collecting rent, accounts payable, vendor services, and maintaining files.  


n  Supports the planning, budgeting and control of operating and capital expenditures.  Assists in the preparation of annual budgets, forecasts, monthly reports, and variance reports. 

n  Assist with accounts receivable and accounts payable, including collection of rent, accruals, payment of expenses, common area maintenance estimates, true-ups, reconciliations, compliance with lease terms, and preparation of all related documentation.

n  Responds to tenant requests and needs and coordinates with Property Management Team to assist in resolving issues. 

n  Assist in the selection and performance of vendor services, including preparation of request for proposals and service agreements. Monitor vendor performance to ensure compliance and standards established in the service agreement are being met.

n  Responsible for scheduling and facilitating maintenance with vendors and tenants.

n  Document and track all certificates of insurance from vendors and tenants.   

n  Maintain accurate and pertinent information for vendors and tenants.

n  Prepare correspondence and memos to tenants and vendors.

n  Establish and maintain positive relationships with internal and external tenants and vendors.

n  Maintain all lease and property related files.

n  Answer and direct incoming calls.

n  Open and distribute incoming mail.

n Schedule and coordinate meetings and tenant events.


n  Bachelors Degree, preferably in business, real estate, or finance

n  Candidate will possess a minimum of three years related experience

n  Proficient in Microsoft Word and Excel

n  Ability to express ideas clearly in written and verbal communications

n  Strong organizational skills and detail oriented

n  Proven record of providing excellent internal and external customer service
