Administrative Coordinator

ROLE DESCRIPTION

Avison Young is in search of a proactive, supportive, and highly organized multi-tasker to work with our high-achieving team of real estate professionals. The Administrative Coordinator will enable smooth work flow while supporting the demands of a very busy and multi-tasking team. Day-to-day duties tend to change constantly and the ability to flexibly adapt to a fast-paced environment is key. The Administrative Coordinator needs to be highly pro-active, resourceful and well-organized.

RESPONSIBILITIES

  • Assist a team of brokers, property managers and project managers, in their day-to-day activities
  • Assist with preparation, coordination and assembly of marketing materials
  • Proofread documents for spelling, grammar and layout making appropriate changes; responsible for accuracy and clarity of final copy
  • Handle correspondence and communications in a highly confidential and professional manner
  • Preparation, control, and maintenance of legal documents such as: letters of intent, offers, proposals, commission agreements, listing agreements, amendments, waivers, extensions, and Listing Services agreements
  • Schedule meetings and property tours
  • Assist with other administrative needs and special projects as needed
  • Reception coverage and other office functions as needed

PROFESSIONAL REQUIREMENTS

  • Proficiency in, Word, Excel, PowerPoint, and other assorted software programs
  • Strong communication, interpersonal and organizational skills
  • Excellent and effective verbal and written communication skills
  • Knowledge of Adobe Creative Suite (Photoshop, Illustrator, InDesign and Acrobat) is an asset
  • Ability to read, analyze, interpret and create general business documentation
  • Ability to write reports, business correspondence and format presentations
